Farm Management Software Development Request for Proposal
Request for Proposal (RFP): Farm Management Software Development
Introduction
We are Soil Pilot, an emerging Ag Tech startup committed to transforming farm operations through intelligent, user-friendly software. Our goal is to empower farmers and agricultural managers with tools that simplify decision-making, optimize resource use, and enhance profitability.
We are seeking development partners to build a comprehensive farm management platform that integrates accounting, cost tracking, ROI analysis, and a dynamic heads-up display (HUD) for real-time insights. We are targeting farming operations from 100-2500 acres, but we are not limited to that range.
We are still in the process of buying a domain, website, and establishing a C-Corp.
2. Project Overview
The proposed software should serve as a centralized hub for farm operations, offering:
•Accounting & Cost Tracking: Streamlined financial management tailored to agricultural workflows.
•ROI Review: Tools to evaluate profitability across crops, seasons, and operational decisions.
•Simple Display): A customizable dashboard for real-time monitoring of key metrics.
•Farm Management Features: Scheduling, inventory, labor tracking, equipment usage, and crop planning.
3. Key Objectives
•Deliver a scalable, cloud-based solution accessible via desktop and mobile.
•Prioritize ease of use for non-technical users in agricultural settings.
•Enable data-driven decision-making through intuitive analytics and visualizations.
•Ensure secure data handling and compliance with relevant agricultural and financial regulations.
4. Functional Requirements
•Farm Operations – Crop planning, field mapping, irrigation scheduling, equipment logs
•Financial Management - Expense tracking, revenue logging, budget forecasting, tax prep tools
•ROI Analysis - Profitability reports by crop, field, season; break-even calculators
•Displays - Custom widgets, alerts, KPIs, weather integration, task summaries
•Data Integration – Leave room for third party, secure data integration
•User Management - Role-based access, multi-user collaboration, audit trails
5. Technical Requirements
•Cloud-native architecture (AWS, Azure, or GCP)
•Responsive UI/UX for desktop
•Secure authentication and data encryption
•Modular design for future feature expansion
•Integration-ready with third-party APIs and IoT devices
6. Proposal Submission Guidelines
Interested vendors should submit the following:
•Relevant experience
•Proposed technical approach and architecture
•Timeline with key milestones
•Budget estimate with breakdown
•Team bios and roles
•Case studies or references from similar projects
7. Evaluation Criteria
The professor or supervisor gets to determine the criteria for this project how they see fit.
8. Timeline
We are looking to check in with the team every 2 weeks to update the software from feedback of the farming operations to ensure efficiency and customer service. We are wanting a finished deliverable and website by December 8th and to have a final presentation to see all the progress throughout the entire semester.
